National Facility Coordinator

 

Job Description Summary

The Facility Coordinator provides a wide array of administrative, clerical, and support services for management in support of clients and building staff. Scope of duties will include monitoring of work orders to ensure the correct assignment, common administrative and clerical functions, vendor management, help desk support, updating directories, preparing correspondence and communications, assisting management with bills and payables, and assisting with budgets and monthly reports.

 

Job Description

Responsibilities

  • Supporting the timely closure of work orders by monitoring the ticket queue and ensuring appropriate assignment has taken place.
  • Placing service calls with certain key Vendor Partners and being accountable for the delivery of their services.
  • Work with the Facilities Managers and Assistant Facilities Managers to track and report on the aging work orders, ensuring that client communications are consistent and timely and driving the operations team to close open tickets in line with SLA’s.
  • Working with the Facilities Managers to produce consistent communications to building occupants, making sure correct client approvals are in place and appropriate coordination of messaging has taken place.
  • All clerical and administrative tasks within the assigned portfolio including gathering vendor COI’s, signage coordination, parts ordering and basic financial administration.

Requirements

  • A High School Diploma or General Equivalency Diploma (GED). College or university credits or degree in applicable discipline preferred.
  • Must be able to work independently, multi-task and prioritize work requests.
  • Minimum two (2) years of Facilities Management experience or equivalent.
  • A minimum of two (2) years of work experience in an administrative capacity. Experience with data entry, basic reporting, filing, answering phones, scheduling, and communications is a must.
  • The candidate must be computer literate, including knowledge of word processing (Word), mail merge, scheduling (Outlook), spreadsheets (Excel) and other database applications.
  • Must be proficient in communicating at all levels in both oral and written form and competent at preparing professional, comprehensive memorandums, letters, reports, documents, files, etc.

Physical Requirements

  • The employee may also be regularly required to sit or stand for prolonged periods of time.
  • Regularly use hands to operate office machinery including, but not limited to, telephones, computers, fax, and photocopy machines.
  • Regularly required to walk, talk and hear.
